Team and Journey Access

NextSteps, a powerful digital tool developed by the Jesus Film Project, offers robust security features to ensure that your journeys and data remain protected. Understanding Access Control in NextSteps

NextSteps provides two primary levels of access control:

  1. Team Level Access
  2. Journey-Specific Access

Managing Team Level Access

Team level access allows members to access and edit all journeys linked to a specific team.

Steps to Add Team Members:

  1. Log in to your NextSteps account and navigate to the dashboard.
  2. Locate and click on the team menu icon.
  3. Select "Members" from the dropdown menu.
  4. In the Members section, you can add new team members by entering their email addresses.

Note: All team members will have access to edit all journeys associated with that team.

Managing Journey-Specific Access

For more granular control, you can manage access to individual journeys without granting access to all team journeys.

Method 1: Using the Journey Menu

  1. From the NextSteps dashboard, find the specific journey you want to manage.
  2. Click on the journey menu icon.
  3. Select "Access" from the dropdown menu.
  4. Add collaborators by entering their email addresses.

Method 2: Using the Journey Builder

  1. Open the journey in the NextSteps journey builder.
  2. Click on the menu icon in the top right corner.
  3. Select "Manage Access" from the dropdown menu.
  4. Add or remove collaborators as needed.

Invitation Process and User Experience

When you invite someone to a journey or team, they will receive an email invitation.

For the Invitee:

  1. Check your email for the invitation from NextSteps.
  2. Click on the "Open Journey" button in the email to access the shared content.
  3. If invited to a standalone journey, it will appear in your "Shared with Me" folder.
  4. If invited to a team, the team will appear in your list of teams.

Best Practices for Managing Access

  1. Regular Review: Periodically review team and journey access to ensure only necessary individuals have access.
  2. Use Journey-Specific Access: For sensitive projects or external collaborations, use journey-specific access instead of team-wide access.
